Advantages
- Able to see the faces and expressions of participants
- Some participants are more comfortable being less formal
- Able to show documents or PowerPoint presentations
- Able to rehearse participants/clients in advance
- Convenience; Less need to travel
- ZOOM is ideal in a situation where emotions may run high
Disadvantages
- Requires Operating system updates and ZOOM updates
- Incompatible software if some participants have not done a restart
- Less able to see body language.
- Static and audio feedback are common problems
- “Zoom Fatigue” affects persons in the meeting
- One party may lose connection and need to be re-admitted to the meeting
- Laptop batteries may run out
Guidelines for a Smooth Meeting
- Host should secure a private, quiet, place without interruptions.
- The host should set up a “waiting room” on ZOOM
- All participants should have a stable internet and reliable cellular connection.
- If participants are in an office, they should be able to confer with each other “off camera”
- Check beforehand to assure that systems are compatible
- Participants should mute audio unless they are speaking
- At the end of the meeting, a short summary or meeting minutes should be recorded
- Each computer monitor should be set in gallery view
